Human Resources Coordinator, HRIS

The Human Resources Coordinator maintains the HRIS data integrity, harmonizes data from legacy organizations, and troubleshoots HRIS issues. In this role, you will work closely with the VP, HR to develop efficient and service-orientated HR processes, reporting and metrics.

Duties and Responsibilities: 

  • Initial Key projects – may include working through data from legacy organizations to align: EEOC classifications and Job Titles, and subsequently gathering Job Descriptions
  • Provide status reports to HR Leadership on project status
  • Maintain and update HR/Payroll Change Sheets for each location as updates are made for timely payroll processing.
  • Ensure employee data is aligned and accurate across the enterprise versus legacy data collected by the five organizations, pre-acquisition.
  • Provide assistance with the use of the HRIS, perform troubleshooting, and resolve any system issues.
  • Collaborate with team members to identify system and process breakages, and recommend improvements, and work with vendor to implement.
  • Work with Payroll team in Finance to triage for payroll deadlines, and prioritize addressing any payroll errors or issues, whilst communicating and managing expectations with affected employees
  • Maintain, direct, and respond to e-mails in general HR inbox and phone calls from HR line.
  • Responsible for annual reports driven by data collected in HRIS: Section 125 Non-Discrimination, EEO-1, US Census, Workers Compensation, CAL OSHA Safety Report, etc.
  • Prepare monthly employee status, terminations, and turnover report.
  • Prepare quarterly paid time off liability report.
  • Monitor state and federal law updates, and amend system or procedures as appropriate, and ensure updated posters and notices are posted in HRIS.
  • Assist with the set-up of carrier connection files and review weekly error reports. 
  • Work with the VP to identify appropriate HR Reporting and potentially develop a dashboard of HR Metrics to support analysis and leadership insight.
  • Maintain HR forms in line with corporate style guide, ensuring forms align with HRIS fields.
  • Other tasks as needed to support the greater HR Team:
    • Assist VPs of HR with additional projects as assigned
    • Assist with company events
    • Other administrative support for the HR department, particularly to cross-train and provide back-up for other members of the HR department 

Skills and Experience

  • High degree of discretion and ability to work with sensitive and confidential company information including staff compensation
  • Some prior use of a database or other similar solution, such as Customer Relationship Management (CRM) systems or Enterprise Resource Planning (ERP) where the work involved capturing data and reporting.
  • Experience with producing reporting from any of these systems
  • Intermediate level Excel skills – ability to manipulate and filter data, understanding of formulas, and best practices for merging data from various sources, and how to generate pivot tables and present data in graphic format
  • Intermediate proficiency with MS Word, and Powerpoint
  • Strong problem-solving and analyzing skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • High level of attention to detail and accuracy
  • Ability to provide an excellent level of customer service both internally and externally
  • High School Diploma
  • Preferred:
    • Prior use of ADP Workforce Now (our current HRIS) is an advantage, however not required, we are prepared to train
    • Either a PHR or SHRM certification or a 4 year college education in human resources management
    • Some prior exposure to and/or understanding of payroll or human resources departments
    • Some prior exposure to and/or understanding of state and US labor and wage and hour laws – specifically CA and NY
    • Working understanding of human resource principles, practices and procedures
    • Ability to interpret and analyze data desired but not required
