Duties & Responsibilities:

  • Reviews all personnel actions to determine benefits impact.  Updates Infinium accordingly (Benefit Groups, changes, cancellations, etc.).
  • Accurately completes group insurance premiums and Stop loss premiums by deadline.
  • Accurately monitors all departments’ average hours reports and ensures timely notification of status changes.
  • Accurately edits/audits the benefit programs and immediately brings outstanding issues to the attention of the Benefits Supervisor/Benefits Manager.  Provides appropriate follow-up as directed.
  • Provides excellent guest service to those employees entering the office by greeting them at once and guiding them appropriately.  Follows up on issues assigned.
  • Schedules appointments as needed with employees to discuss benefit eligibility, options and enrollment.  Maintains flexibility in scheduling appointments.
  • Maintains working knowledge of all regulatory and legal standards.  Understands and administers FMLA, ADA, exit interviews, HIPAA Security compliance and out-processing.
  • Understands and effectively administers the benefit enrollment process and entitlements for Health Insurance, Life Insurance, Premiums and Retirement. 
  • Provides accurate and consistent benefits communication by staffing Benefits Communication Corners.
  • Ensures proper and timely processing of eligibility, enrollments, cancellations of all Health Insurance, Life Insurance, Premiums and Retirement, and proper written correspondence to affected Team Members.
  • Assists with the effective administration of the time off program and other internal benefits and properly communicates these programs to the Team Members.
  • Ensures all benefits materials are up to date.
  • Has complete understanding of the Infinium system, including data entry, set up and report generation.
  • Works closely and cooperatively with Payroll, Finance and other related departments.
  • Ensures timely Internet communication with the carriers, including insurance changes and investment options Benefits-on-line.
  • Effectively conducts Benefits Orientation for newly eligible employees.
  • Effectively administers one or more of the following:  401(k) loan tracking and/or Evidence of Insurability.
  • Provides prompt back up service and claims processing to employees filing statutory short term, and long term disability claims.  Ensures accuracy of all claim information and timely communication with the disability carrier as required. 
  • Maintains thorough and accurate records and files of all employee disability claims.
  • Maintains working knowledge of all disability insurance plans, regulatory and legal standards and applies concepts appropriately.  Understands and ensures compliance with FMLA, ADA, NY State Worker’s Compensation laws, HIPAA privacy Laws, and NYS Disability guidelines.
  • Demonstrates good judgment in assessing potential risks to the organization.  Minimizes claim costs and exposure by facilitating timely return to work and accommodations.
  • Effectively monitors all LOA’s and ensures compliance with company policies.  Ensures timely written communication to employees regarding LOA stipulations.  Enters all LOA data in Infinium.  Conducts regular audits of data and reporting to departments.
  • Monitoring and tracking of employee plan contributions in arrears and ensures appropriate correspondence and collection of payments due.
  • Regularly assists with employee events and programs.

 Minimum Qualifications:

  • Bachelor’s Degree or equivalent work experience and training in Benefits/Human Resources Administration required.
  • At least 4 years previous Human Resources experience required.
  • Excellent oral and written communication skills required.
  • Must have strong computer background with the ability to write and create reports.
  • Evaluation, assessment and decision-making skills are required.
  • Must adhere to strict confidentiality policy.
